Venturing The Gathering
Trevor Rees-Jones Scout Camp

(The Activities are all Saturday only but camping is available both Friday and Saturday nights.  Units who choose to camp will need to provide all meals except Saturday lunch. )

Hear Ye!, Hear Ye! All mages, rangers, knights, knaves, jesters, bards, orcs, elves and wee folk.  By proclamation of the Venturing Officers Association a day of revelry and adventure has been set aside for the enjoyment of youth 14 years of age or older in Venturing Crews, Scouts BSA Troops, and Sea Scout Ships. Ye are hereby invited to to attend and partake in the days enticements and there will be accomodations of the dirt of the earth for those who wish to tent either before or after!   It is the Medieval Gathering! You are hereby requested to bring yourselves and leaders to the Royal Camping Grounds at Trevor Rees Jones-Scout Camp in Athens, TX on Saturday October 18, 2025. Camping is available for both October 17 and 18.

Who can attend: Venturing Participants, Scouts BSA Youth (over 14 years of age or 13 years of age and completed the 8th grade), and Sea Scouts. Youth must be accompanied by appropriate unit leaders per Scouting America policies.

What revelry and adventure can be expected? Anticipated program for this event (subject to change):

Team-building competitions, Cooking competition, VOA elections, Climbing tower, Training opportunities, ATV Experience (additional fee), Horse Trail Rides (additional fee) and Shooting Sports. 

Shooting Sports will include: Rifle, Shotgun, Black Powder, Action Archery and 3d Archery (animal targets), and Cowboy Action Shooting.  

Training will include NRA Safety First Pistol Orientatoin (additonal fee and limited to 25 participants).

Event Details

• Check-in begins Friday, October 17, at 6:00 p.m. and Saturday, October 18 at 7:00 - 9:00 a.m.
• Meals: All meals except lunch on Saturday are the responsibility of the unit.  Lunch is provided and will consist of a Turkey Leg and a side. (Note: if this does not meet dietary needs then please plan to bring your own lunch)

Cost

Youth Early Bird is $30.00 per person (Venturing Youth under 18 years of age or Scouts BSA youth 14 years of age or older or 13 years of age and having finished the 8th grade). Regular price is $35 for all registrations completed after September 22, 2025 at 11:00 p.m.

Venturing-aged youth, not yet involved in Scouting, are invited and welcome to come with your Crew. Please include them on your youth roster and pay the same fee as all other youth participants. Youth not registered with Scouting America are not permitted to camp overnight but may stay for the day.

Adult Participant Early Bird is $30 per person (Venturing Participants who are over 18 and under 21 years of age). Regular price is $35 for all registrations completed after September 22, 2025 at 11:00 p.m.

Adult Leader early bird is $20 per person early registration. Regular price is $25 for all registrations completed after September 22, 2025 at 11:00 p.m.

Staff registration is $10 per person (please contact event staff for password)

Shooting Sports Staff: $10 per person (please contact event staff for password)

Horseback Trail Rides: $10.00 per participant (Limited availability.Tickets must be pre-purchased during registration).

Intro to ATV: $5.00 per participant (limited availability. Tickets must be purchased during registration).

NRA First Steps Pistol (Semi-automatic 9mm) - includes range time and ammo: $15 per participant (limited to first 15 to sign up).  First Steps course work is done Friday evening from 8:00 p.m. - 11:00 p.m. and range time is before the general activities begin on Saturday.  Signed Parent Waiver form MUST be presented.

Cowboy Action Shooting - Included in participant fee - Signed Parent Waiver form MUST be presented.

Cancellations: all cancellation and refund requests must follow the Circle Ten Council Refund & Cancellation Policy (HERE).

Required at Check-In

• Unit roster (one per unit downloaded from my.scouting.org)
  • All persons staying on camp must be a currently registered member of Scouting America (unit, District, or Council level. Merit Badge Counselor does not meet this requirement.)
• Annual Medical Health Record A & B
• ATV Waiver
• Cowboy Action Shooting Release (If participating, this must be signed by a Parent/Guardian if under 18 years of age.) 
• NRA First Steps Pistol Release (If participating, this must be signed by a Parent/Guardian if under 18 years of age.)
